Executive Overview

Our client was a USA based advertising and branding company who required integration between two NetSuite accounts for the efficient management of their operations. Branding and advertising company often must deal with multiple entities and legal landscapes. The efficient integration of these diverse platforms can help in the efficient dealing of these processes.

The engagement

The Jobin and Jismi team proposed Celigo integration to ensure the efficient configuration of the processes they are struggling with.Celigo integration can minimize the complexities while handling the multiple entities and ensures the operational efficiency and scalability. They replaced the manual CSV importing and ensured secure, rule-based and automated data exchange between the systems.

The Business Challenges

The client was a branding and advertising company who must deal with multiple entities. This handling of data using different NetSuite accounts created several data synchronization issues and consolidation challenges.

Disparity in Data Structures Across NetSuite Accounts

The two NetSuite accounts of the client had been implemented at different stages of business growth and customized independently to support unique operational needs. As a result, multiple data variations existed in the custom fields, record layouts and naming conventions. Aligning these disparate data structures through Celigo integration required careful analysis to establish a common integration model.

Complexity of Project and Campaign Synchronization

The client operated in a highly project driven environment where campaigns frequently evolved during execution. Configuring  Celigo to handle these dynamic project records across both NetSuite accounts required advanced data mappings and conditional workflows to ensure that the financial and operational data remained aligned throughout the campaign lifecycle.

Handling High Transaction Volumes from Media Buying Activities

Media buying operations generated a high volume of time sensitive transactions, including vendor bills, adjustments, and accruals. The synchronization of these data through Celigo required careful performance tuning to avoid API limitations, processing delays, or partial data transfers.

Error Management and Integrations Exceptions

Not all data transfers succeeded on the first attempt due to missing mandatory fields, invalid references, or timing mismatches between the systems. They disrupt the real time data flow for campaign tracking, client billing, and creative asset syncing across tools Without robust exception handling, unresolved failures could accumulate and undermine trust in the automated integration process, forcing teams back to manual interventions.

The Solution

Celigo integration was the right solution which could mitigate the data synchronization challenges between the two NetSuite acounts. It could provide rapid deployment through pre-built NetSuite templates, data sync, AI driven error solution and inventory management across accounts.

Strategic integration Design and Planning

The initial step was to implement a well-defined implementation strategy. This approach focused on identifying the core business processes that required synchronization, defining system ownership for each data object, and determining the direction and frequency of data flows. This ensured that the Celigo integration aligned with the client’s business requirements while minimizing the disruption to ongoing branding and advertising activities.

Standardization of Master Data Models

To bring consistency across both NetSuite accounts, a unified data model was created. The key records such as customer, items, and vendors were standardized to resolve the discrepancies in the field definitions, naming conventions, and validation rules. The flexible mapping capabilities of Celigo were used to align custom fields and transform data during transfer, ensuring the availability of the clean data.

Scalable Handling of High-Volume Transactions

The Celigo integration was designed to handle large volumes of transactions generated by media buying and campaign execution activities. Celigo's scheduling, batching, and performance optimization features were configured to handle peak loads without impacting system performance. Reliable processing of vendor bills, invoices and project updates while maintaining timelines for client billing and cash flow cycles was ensured through this.

Managed Change and Business Readiness

To support adoption, the solution included validation cycles and controlled rollout phases, allowing business users to review data accuracy and system behavior before full deployment. The automation removed the dependency on spreadsheets and manual coordination, enabling the employees to rely on the system-driven data exchange.

Robust Error Management and Monitoring

The integration included comprehensive error handling and monitoring mechanisms to ensure operational reliability. Celigo dashboards provided real time visibility into integration activity, while automated alerts notified teams of failures or exceptions. Failed records could be quickly reviewed, corrected, and reprocessed, preventing small issues from escalating into operational bottlenecks and reinforcing confidence in the automated workflows.

Business Impact

The Celigo integration was able to bring visible changes to client’s business operations. Through Celigo integration, a well-defined operational flow of the business was ensured.

Challenges We Navigated

Risk of Data Inconsistency and Corruption

During the initial stage of integration, there was a significant risk of data inconsistency arising from mismatched field definitions, incomplete mappings, or partial record transfers between the two NetSuite accounts. Any inconsistency in mastering data or transactional records could have impacted project tracking, billing accuracy, and financial reporting.

How we resolved it:

The implementation team carried out detailed data mapping and validation exercises before activating live integrations. Controlled test runs were executed using sample datasets, allowing discrepancies to be identified early. Data ownership rules were clearly defined so that each record type had a single source of truth, ensuring consistency across both systems.

Risk of Duplicate Record Creation

With overlapping customers, vendors, and service items present in both NetSuite accounts, there was a high risk of duplicate records being created during synchronization. Duplicate data could have led to fragmented client histories, duplicate billing, and unreliable reporting.

How we resolved it:

The team addressed this issue by implementing intelligent matching logic within Celigo. Unique identifiers and conditional rules were used to determine whether existing records should be updated rather than recreated. Duplicate prevention logic was tested extensively during the staging phase, ensuring clean master data synchronization once the integration went live.

Risk of Integration Failures Due to Volume and Timing

Media buying and campaign execution activities created a high volume of transactions often within short timeline. This raised the risk of API limits being exceeded, delayed data transfers or incomplete syncs during peak processing periods.

How we resolve it:

The integration was designed with scheduled data flows, batching mechanisms, and performance optimizations within Celigo. Transaction loads were distributed strategically to avoid congestion, and retry mechanisms were configured to automatically reprocess failed records without manual intervention. This approach ensured both scalability and stability under heavy operational loads.

Risk of Authentication Breakdown During High Dependency Operations

Since the integration depended on continuous data exchange with external ad tech and creative platforms, any authentication token expiry or credential mismatch could immediately disrupt campaign workflows. Such failures risked halting campaign updates, delaying client reporting and interrupting project tracking activities.

How we resolved it:

To mitigate this, the team implemented token-based authentication with monitored validity periods and proactive renewal reminders. Alerts were configured within Celigo to flag upcoming token expirations. This ensured uninterrupted connection stability, allowing all campaign linked data to flow seamlessly without unexpected disruptions.

Risk of Business Disruption During Go Live

Transitioning from manual coordination to automated integration posed the risk of temporary confusion or disruption, particularly for teams accustomed to isolated NetSuite workflows. Any loss of confidence in the new system could have slowed adoption.

How we resolved it

The team mitigated this risk through a phased rollout approach. Parallel runs were conducted to compare manual and automated outcomes, allowing users to validate results before full deployment. This gradual transition helped teams build trust in the integrated environment without impacting ongoing campaign delivery.

What This Project Taught Us

  • Importance of Early Data Standardization. Integrating two NetSuite accounts becomes more complex when both system follow different data structures, custom fields and naming conventions. Addressing these differences in the middle of migration is a time-consuming process. This reinforced the values of conducting a comprehensive data audit early and establishing a unified data structure before designing any integration flows.
  • Governance is Crucial for multi system integration . The project highlighted that the governance is essential for the stable integrations. Without proper ownership or versioning rules, both account frequently created duplicate records or updated the same master data differently. This caused conflicts during the sync. Implementing a governance model brought stability and predictability.
  • Customizations must be evaluated before integration. Each NetSuite instance contained distinct custom scripts, workflow rules, approval processes and field level validations developed over time to meet the individual business needs. Even though these customizations were operationally valuable, they often conflicted with the Celigo’s integration logic, resulting in data sync failures triggered by conditional mandatory fields, script- driven validations and automated workflow actions.
  • Error Management Requires Proactive Frameworks. Error handling proved to be a central challenge, as expected in any complex cross account integration. Early in the project errors such as missing mandatory fields, invalid lookups, permission denials, and data mismatches frequently halted flows. Relying on manual monitoring was inefficient and slowed down issue resolution. This experience reinforced the value of establishing a proactive error management framework.
