Client Portfolio

Our client is a rapidly developing manufacturer and distributor of a wide range of facility and business supplies, including cleaning, safety, food service, electronics, and personal care goods, as well as office supplies and equipment. They cater to a wide range of businesses, including retail, fitness, spas, hospitality, commercial property management, and country clubs.

They provide total visibility through a single ordering platform. With hundreds of customers and sub-customers, they needed granular, real-time inventory tracking per customer to eliminate stock confusion.

Problem Statement

The client, who is a wholesale distributor of business and office supplies and equipment had a huge partner/customer and sub-customer base. The partners bought from them through a single platform. Our client had access to real-time statistics on the items allocated to each of their partners via NetSuite. They wanted to allow their partners to keep track of inventory on-hand on any item, inventory or non-inventory, that the later purchase. The client managed inventory centrally, but each partner/sub-customer needed independent stock visibility for their specific locations. There was no partner/customer-specific stock tracking and manual stock updates were inefficient. The outdated inventory triggered cart errors, killing conversions. They wanted:

1. A functionality in their SCA site such that they could track the product stock of each of their customers separately in real-time.

2. Functionality to allow each of their partners to track and update the product stock of themselves and their sub-customers.

3. Real-time product stock on the product list page, product details page, purchase history page of each partner.

4. To manage the inventory stock of the products from a dedicated inventory management page that can be accessed by specific managers.

What Solution We Have Suggested?

We recommended a smart, customer-by-customer inventory system right within their SCA storefront. Our solution would support customer-specific inventory tracking for designated items. It included:

1. Every item-customer combination is maintained separately, so that the on-hand quantity and last updated status are precisely known.

2. Inventory values of each customer manually entered and are not linked to automated stock calculations or fulfillment updates.

3. A dedicated Inventory Management page to provide customers with direct control over their inventory data within the My Account section of the website. This interface enables authenticated users to view and update their on-hand quantities in real-time.

4. Dedicated section where those with required permission can search items, filter by category or stock status, edit quantities on-screen instantly, or export as CSV to update the data as required offline, and reupload to update the quantities.

5. Customer-specific inventory details surfaced contextually across core shopping touchpoints, including Product Listing Pages (PLP), Product Detail Pages (PDP), Quick View modals, as well as the Cart and Checkout stages. These enhancements ensure alignment between available stock and user experience across the storefront.

6. Approvers have a single screen that shows inventory across all linked accounts, with easy filters by location or group to drill down fast, which would help avoid jumping between screens or spreadsheets.

7. Outdated stock triggers smart alerts at the checkout with an "Update Inventory" button, thus guiding users to fix it without abandoning the carts.

Major Challenges

1. Thousands of items across hundreds of accounts overwhelmed uploads. We split them into smart, background batches that handle giant files smoothly, keeping the storefront operations smooth no matter the size.

2. Accurately pulling sub-customer information that is scattered felt impossible. We created filters and dashboards turning fragmented spreadsheets into one clickable view, slashing search time dramatically.

3. The high-chance of missing zero-stock or null items for "Out of Stock". Our expert team refined logic to catch everything accurately and through relentless testing.

Customer Success

Post-launch approvers gained centralized control over sub-customer inventories while individual managers maintained independent stock levels. Real-time visibility eliminated "out-of-stock surprises" during checkout. CSV bulk updates slashed manual entry from days to minutes. Filters and search made 10,000+ SKUs manageable. The unified interface across product pages, My Account, and approver tools created seamless stock management, boosting reorder confidence and reducing chargebacks.

Key Achievements

1. Real-time customer-specific inventory across entire shopping experience (PLP/PDP/Cart/Checkout).

2. Approver dashboard managing hundreds of sub-customers with one-click filtering.

3. Scalable CSV import/export handling 1000+ items.

4. Role-based access control.

5. Non-disruptive error handling preserving user workflow.

Way Forward

The updates enhance the functionality for real-time stock tracking, stock updates via CSV imports, and cross-customer visibility for Approvers. This foundation opens doors to brand-level filters, auto low-stock alerts texted to managers, and even POS sync for hands-free updates. As account counts climb past thousands, we'll layer in demand predictions to flag fast-movers early.

Matrix items and location-based alerts can come next, plus deeper analytics spotting reorder patterns across chains. Jobin & Jismi stays updated, hands-on, scaling the system as growth accelerates, turning inventory from being a headache to revenue driver.
