How to Simplify Item Fulfillment by QR Code Scanning in NetSuite

A Malaysian manufacturer of vegetable oil products approached Jobin & Jismi to make their item fulfilment process easier through QR code scanning. They have two modern fully automated plants for manufacturing food-grade Metal and Plastic Packaging Products of different sizes and shapes. Their fleet comprises various types of vehicles, including trucks, stainless steel tankers, and container trucks. This transportation arm of the business ensures timely and efficient delivery of goods to customers, contributing to overall customer satisfaction and the company's success. 

Problem Statement

The client expressed the need to introduce NetSuite customization for fulfilling sales orders through trucks. As part of this system, they required a single fulfilment record for each truck. This meant that when a truck was loaded with products for delivery, a record of this fulfillment was created, and it contained all the relevant information related to the contents and destination.  

As per the request of the client, once work orders were completed, each pallet placed in the truck had to be scanned and the information fed to the system to verify that they were correctly accounted for and included in the fulfillment record.  

However, the client also highlighted that there was a potential issue with concurrent users attempting to fulfil the same sales order at the same time. If one user partially fulfilled an order through the warehouse management system (WMS), another user attempted to fulfill the same order simultaneously, resulting in a concurrency issue. In other words, there could be a conflict or inconsistency in the data, causing errors. 

What We Suggested 

As part of their analysis, our team of NetSuite experts determined that one key requirement was to provide users with an easy and efficient way to track the item fulfillment process. To address this need, they developed a solution that allows users to scan a QR code associated with each item being fulfilled. By scanning the code, the user can quickly and easily access information about the item, such as its quantity, destination, and other item specifications.  

In addition, the team found that NetSuite customization would be helpful to allow users to review the item list before proceeding with fulfillment. This would give them an opportunity to verify that all the necessary items are accounted for, and to make any necessary adjustments before the fulfillment process begins. To support this requirement, the team included an option for users to view the item list prior to scanning the QR code.

Fulfilling all items using a single QR code scan compared to earlier situations where fulfilling multiple items required the creation of several fulfilments.
The details of each item are automatically sorted and easily accessible through the QR code scanning feature. This means that users can quickly view all the relevant information about each item, including its quantity, destination, and any special handling instructions.  
Before scanning the code, users are presented with a list of only the available items to fulfil. This allows them to easily identify any items that have already been fulfilled and focus on completing the remaining items. 
Overall, the QR code scanning feature provides the user with a more streamlined and efficient fulfillment process, reducing the risk of error and increasing productivity. By simplifying item fulfilment in NetSuite, this customization offers numerous benefits.
